Article VI

Protocol in case of Member’s or Spouse’s serious illness, accident or death:

Order of action to be taken:

  1. Whichever club member first becomes aware of the illness, accident or death of a member or his spouse, he immediately notifies the Secretary and the membership in a group email. The club officers then consult and by agreement, any of them takes charge of coordinating the particular situation, and in the event an officer is unable or unwilling to be such coordinator, any member may volunteer.
  2. Such coordinator contacts the family to offer sympathy or condolences on behalf of the club, and asks what the club can do to help the family in any way necessary.
  3. The coordinator advises the Secretary of the club of the results of the contact with the family, who then advises the membership of any arrangements made, including in the event of death, which charity or other institution should be the recipient of a club donation.
  4. The Secretary sends an appropriate card to the family on behalf of the club membership.
  5. Club members will use their own discretion when calling the family – remember they are under stress and may be overwhelmed with calls.
  6. The Treasurer issues a check to the charity or other institution referred to in #3 above, the amount to be determined at a club meeting by simple majority.
